Tips on inviting people and managing invitations

Hello,

Here are a couple of pointers to help with the GroupSwim invitation process:

Scenario 1 - Inviting members to the community

1.  Click on the "Invite members" link on the main page, from groups, or from manage members.  It is almost always available under actions on the right.  Depending on how you've configured your site, this option will available to managers or everyone.

2. Fill in the email addresses of the people you want to invite or paste them in.  The addresses should be separated by commas.  Once you are happy with the invitation, hit the button "Invite Members".

3. If the invitations were sent correctly, you'll see a message in a green banner at the top of the page.

4. The members will get an email from you with a link.

Once they click on the link and register, they are in the community.

Scenario 2 - Member requests access to your community

1. The potential members goes to your site.  If it is a public site, they can join immediately.  If the site is private, they will click on a button and request access.  Once they submit, the site owner and all site managers will receive an email like the one below.

2. When you click on the link in the email, it will take you to the manage members area in GroupSwim and the "Invitation Requests" queue; if you've logged out of GroupSwim, it will ask you to login first.  If you want to send the person an invitation, you need to do the following.  First, select the check box next to their name.  Second, select "Invite" in the drop down box at the top.  Third, click on the "Go" button.

3.  After you click "Go", a pop-up box will appear with the text for the invite email that goes to the user.  When you are happy with the invitation (you can save the message as the default by clicking on the check box), hit the button "Invite members" and they will be sent an email with a link.

Once they click on the link and register, they are in the community.

Scenario 3 - Monitoring invitations

1. Click on "Members" on the main page.

2. Click on the "Manage members" action on the right.

3. Click on the "Open invitations" link on the right to see which invitations are still open and the member hasn't yet registered.  Using the same process in Scenario 2, Step 2, you can resend them an invitation or delete the invitation.

4. Click on the "Invitation requests" link on the right to see requests members have made for the community, but no manager has yet followed the steps in Scenario 2.
